1. Introduction
This Privacy Policy explains how FunctionX Technologies ("FunctionX", "we", "us") collects, uses, and protects information through Axiom — our school administration platform, consisting of the Axiom web admin panel and the Axiom mobile apps used by school staff, teachers, parents, and students. Axiom is built for schools ("Institutions") that use it to manage their own students', parents', and staff members' records. For most of the personal data described below, the Institution you or your child is enrolled with or employed by is the data controller, and FunctionX acts as the data processor / technology provider on the Institution's behalf. Any questions about how a specific school handles your data should first go to that school's administration; questions about the Axiom platform itself can be directed to us using the contact details at the end of this policy.
2. Information We Collect
3. How We Use Information
- To operate the core features you and your Institution use Axiom for — attendance, academics, fees, communication, and safety tracking.
- To send OTP codes, login alerts, and other account-security notifications.
- To send notices, homework updates, exam results, and other school communications the Institution publishes.
- To deliver push notifications for safety alerts, messages, and announcements.
- To maintain the security, integrity, and reliability of the platform, including detecting and preventing misuse.
- To respond to inquiries submitted through this website or to you or your Institution directly.
4. How We Share Information
We do not sell personal data. Information is shared only:
- Within the Institution — with the teachers, administrators, and parents/guardians who need it to carry out their role (e.g. a class teacher sees their students' attendance; a parent sees only their own child's records).
- With service providers who help us operate Axiom under contract — for example, our SMS/email/push-notification delivery provider, and our cloud hosting provider — who are only permitted to use the data to provide that service.
- When required by law, regulation, or a valid legal request, or to protect the rights, safety, or property of FunctionX, an Institution, or any individual.
- With your (or your Institution's) explicit consent for any other purpose.
5. Children's Privacy
A significant part of the data in Axiom belongs to students who are minors. This data is collected and provided by the Institution the student is enrolled at, under the consent and enrollment agreement between the Institution and the student's parent or legal guardian — Axiom does not collect data directly from children outside of that relationship. Parents/guardians can review or request correction of their child's data by contacting their Institution's administration, or by writing to us at the contact below and we will route the request to the relevant Institution.
6. Data Security
- All data in transit between the app/browser and our servers is encrypted (HTTPS/TLS).
- Passwords are stored using one-way cryptographic hashing — we cannot see or recover your actual password.
- Access to student, staff, and parent records is restricted by role — a user can only see the data their role and school affiliation entitle them to.
- Biometric authentication data is processed entirely on your device by the device's own operating system and is never transmitted to or stored on our servers.
7. Data Retention
We retain personal data for as long as the Institution's account with Axiom is active, and afterward for as long as reasonably needed to comply with the Institution's legal, regulatory, or record-keeping obligations, or until the Institution instructs us to delete it. You can request deletion or export of your data through your Institution's administration, or by contacting us directly.
8. Your Rights
Depending on your location and applicable law (including India's Digital Personal Data Protection Act, 2023), you may have the right to access, correct, or request deletion of your personal data, withdraw consent, or lodge a complaint with a data protection authority. Because most data in Axiom is controlled by your Institution, the fastest way to exercise these rights is usually through your school's administration — but you're welcome to contact us directly and we will assist or route your request appropriately.
9. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal reasons. We will update the "Last updated" date below when we do. Continued use of Axiom after a change means you accept the updated policy.
